I hope you all had a wonderful, restful break over the festive period, and got to spend plenty of time with your family and friends.
Fresh off a blockbuster year for our Recurring Tasks for monday.com app, which has just been named 'Most Installed App' on the monday.com Apps Marketplace for a second year in a row, we want to kick off 2025 in the best way possible—with three brand new features, shaped by your valuable feedback!
New Recurring Tasks features: shaped by you, for you
If there's one thing we love about being part of the monday.com community, it's how driven and vocal you are when it comes to improving the tools you use every day. After meeting many of you at monday.com Elevate in London and New York, we came back to the drawing board (well actually, our monday.com board) fired up with fresh ideas—and some very helpful feedback!
Whether you stopped by our booth, attended our masterclasses, or shared your thoughts on how we could make monday.com work even better for you, we listened closely. And now, we're excited to show you how your input has helped shape the future of Recurring Tasks for monday.com!
So, let's dive into the latest updates, and see what's new with Recurring Tasks!
1. Custom Scheduling: complete control over when your tasks appear on your board
First, let's talk about custom task scheduling. Flexibility is key when managing tasks, and that's precisely what the new Custom Scheduling feature brings to your workflow.
Instead of being tied to rigid settings where tasks appear a day before or on their due date, you now decide exactly when they show up on your board. Need a task to pop up a week early to give your team extra prep time? Done! Want it right on the day it's needed? No problem!
For example, marketing teams preparing campaign assets can schedule a task to appear ten days ahead of launch, giving them plenty of time to review and polish the finer details. Meanwhile, project managers juggling tight timelines can set critical tasks to show up exactly when they need action, ensuring nothing slips through the cracks.
By letting you tailor when your tasks appear on your board, Custom Scheduling eliminates unnecessary stress and keeps your projects running smoothly.
How to use Custom Scheduling:
- Click on the item you want to create as a recurring task.
- Select the 'Start date' and choose how often you want the task to repeat.
- Under 'When would you like to display your tasks?', select the 'Custom' option to enable Automatic Scheduling.
- From the dropdown menu, select whether you'd like to schedule by custom day or custom week.
- Enter the number of days (e.g. 5 days before the due date) to define the custom date.
- Set the end date for your schedule, and click 'Save' to activate the custom schedule.
2. Never-End Scheduling: no more guesswork
At Elevate, we were delighted to hear that, for so many of you, Recurring Tasks had become such a lifesaver. You also shared that the need to reset schedules manually, along with having to track when the last occurrence of a task was created, was adding extra admin. So, we took action!
Enter Never-End Scheduling—a feature designed to keep your tasks recurring without interruptions or extra effort. With Never-End Scheduling, you can set tasks to repeat forever without worrying about recreating them when a schedule runs out.
Maybe you're a finance manager tracking monthly billing reminders for subscription services critical to your company's operations. Before this update, you'd have to set placeholder end dates, then manually recreate or adjust the task every quarter or year. Now, with Never-End Scheduling, that task just keeps recurring. No interruptions, no extra admin work—just smooth, consistent tracking.
Or, perhaps you're a marketing manager running weekly reviews for evergreen campaigns. Previously, you'd have to periodically revisit the schedule manually, adding unnecessary busywork and risking oversights. Now, you can set the task to repeat indefinitely, freeing up more time to focus on strategy and creativity instead of task settings.
This update is all about keeping your workflow seamless. Whether you're managing ongoing subscriptions, maintaining content calendars, or overseeing long-term projects, Never-End Scheduling takes the pressure off. With one less thing to worry about, you can put your energy where it belongs—on the work that truly matters.
How to use Never-End Scheduling:
- Click on the item you want to create as a recurring task.
- Select the 'Start date', how often you want the item to repeat, and when you'd like to display your tasks.
- Choose one of the two options for Automatic Scheduling: 'On the due date' or 'Custom'.
- Select the 'Never' option under 'Ends' to ensure the task continues to recur indefinitely. This setting will keep the task recurring unless you manually update or delete it.
3. Editable Automatic Scheduling: easy updates without the hassle
In fast-moving, multi-layered projects, where teams are required to adapt and shift priorities at pace, change is inevitable. Editable Automatic Scheduling makes sure your recurring tasks can keep up.
Previously, adjusting a task's schedule meant starting from scratch—deleting the old task, recreating it, and hoping no important details got lost along the way. Now, you can update schedules on the fly with a simple click.
Need to shift your weekly analytics report deadline from Friday to Thursday? No sweat! Instead of redoing everything, you simply adjust the existing task's schedule. The same goes for finance teams adjusting billing cycles or project managers adapting to new deadlines. It's quick, straightforward, and keeps everything running without interruptions.
How to use editable Automatic Scheduling:
- Go to the tasks you want to edit and open the Recurring Task app. You will see the info card showing a summary of your scheduled task.
- To edit the automatic schedule, click the pencil icon in the top-right corner of the info card.
- After clicking the icon, the original side-view panel settings for the schedule will appear, allowing you to make edits.
- Once you've updated the schedule, click 'Save', and your new settings will be applied.
